No electronic transmission over the internet can be guaranteed 100% secure, however.

1. What information do we collect?
Personal information you disclose to us
In Short: We collect personal information that you provide to us.
We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services (such as purchasing an audiobook, applying as an indie author, or generating AI scenes), or otherwise when you contact us.
Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:
- names
- email addresses
- passwords (always stored as a one-way bcrypt hash — never in plain text)
- display names / contact preferences
- author application details (name, email, bio) if you apply to publish on Avidlee
- audio files and accompanying metadata (title, description, scene prompts, cover URL) you upload as an indie author
- AI scene prompts you submit while reading a book
Sensitive Information. We do not process sensitive information.
Payment Data. We may collect data necessary to process your payment if you choose to make purchases. All payment data is handled and stored by PayPal; Avidlee never sees or stores your full card number or PayPal password. You may find PayPal's privacy notice at paypal.com/us/legalhub/privacy-full. We do retain the PayPal order ID, the amount, and the book purchased so we can deliver the audiobook to your library and produce sales receipts for our indie authors.
Social Media Login Data. We may provide you with the option to register with us using your existing Google account. If you choose to register in this way, we will collect certain profile information about you from Google (typically your name, email address, and profile picture) as described in the section called How do we handle your social logins? below.
Information automatically collected
In Short: Some information — such as your Internet Protocol (IP) address and/or browser and device characteristics — is collected automatically when you visit our Services.
We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our Services, and other technical information. This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes.
The information we collect includes:
- Log and Usage Data. Service-related, diagnostic, usage, and performance information our servers automatically collect when you access or use our Services (IP address, browser type, the date/time stamps associated with your usage, pages viewed, books opened, scenes generated, error reports).
- Device Data. Information about the computer, phone, tablet, or other device you use to access the Services — IP address, browser type, hardware model, operating system, and system configuration information.
Google API. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
2. How do we process your information?
In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law.
We process your personal information for a variety of reasons, depending on how you interact with our Services, including:
- To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order.
- To deliver the audiobooks and AI scenes you request. We process your purchase records to make books available in your library, and we process your scene prompts so we can generate the requested narration, painting, or short film.
- To pay our indie authors. If you publish on Avidlee, we process your sales records so we can compute the 70% royalty owed to you on each purchase.
- To respond to user inquiries / offer support. We may process your information to respond to your inquiries and solve any potential issues you might have with the requested service.
- To send administrative information to you. We may process your information to send you details about our products and services, changes to our terms and policies, and other similar information.
- To save or protect an individual's vital interest. We may process your information when necessary to save or protect an individual's vital interest, such as to prevent harm.
3. What legal bases do we rely on?
In Short: We only process your personal information when we believe it is necessary and we have a valid legal reason (i.e., legal basis) to do so under applicable law.
If you are located in the EU or UK, this section applies to you. The General Data Protection Regulation (GDPR) and UK GDPR require us to explain the valid legal bases we rely on in order to process your personal information. As such, we may rely on the following legal bases:
- Consent. We may process your information if you have given us permission to use your personal information for a specific purpose. You can withdraw your consent at any time.
- Performance of a Contract. We may process your personal information when we believe it is necessary to fulfill our contractual obligations to you — for example, delivering an audiobook you have purchased.
- Legal Obligations. We may process your information where we believe it is necessary for compliance with our legal obligations, such as to cooperate with a law enforcement body or regulatory agency.
- Vital Interests. We may process your information where we believe it is necessary to protect your vital interests or the vital interests of a third party.

4. When and with whom do we share your personal information?
In Short: We may share information in specific situations described in this section and/or with the following categories of third parties.
Vendors, Consultants, and Other Third-Party Service Providers. We may share your data with third-party vendors, service providers, contractors, or agents who perform services for us or on our behalf and require access to such information to do that work.
The categories of third parties we may share personal information with are as follows:
- Payment processors (PayPal)
- AI service providers (OpenAI, via the Emergent integrations platform — used for TTS narration, scene paintings, and Sora short films)
- Cloud computing and website hosting service providers
- Data storage providers
- User account registration and authentication services (Google, when you choose to sign in with Google)
- Performance monitoring and analytics tools
We also may need to share your personal information in the following situations:
- Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
5. Do we use cookies and other tracking technologies?
In Short: We use cookies and similar technologies sparingly — mostly to keep you signed in.
We use a small number of cookies and similar technologies to gather information when you interact with our Services. The primary cookie we set is an HttpOnly session_token that keeps you signed into your Avidlee account on the device you use. We do not use advertising cookies and we do not run third-party retargeting pixels.
Most web browsers are set to accept cookies by default. If you prefer, you can usually choose to set your browser to remove cookies and to reject cookies. If you choose to remove or reject the Avidlee session cookie, you will no longer be signed in.
6. Do we offer artificial intelligence-based products?
In Short: Yes — Avidlee's whole point is to bring books to life with AI.
As part of our Services, we offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies (collectively, “AI Products”). The terms in this Privacy Notice govern your use of the AI Products within our Services.
Use of AI Technologies. We provide the AI Products through third-party service providers (“AI Service Providers”), including OpenAI (accessed via the Emergent integrations platform). Your prompt input, the resulting output, and any personal information necessary to deliver the feature will be shared with and processed by these AI Service Providers to enable your use of our AI Products. You must not use the AI Products in any way that violates the terms or policies of any AI Service Provider.
Our AI Products. Avidlee's AI Products are designed for the following functions:
- AI narration (text-to-speech) of book excerpts using OpenAI TTS
- AI scene paintings — cinematic illustrations generated with OpenAI's image model (
gpt-image-1) - AI short films — brief cinematic scenes generated with OpenAI Sora 2
How We Process Your Data Using AI. All personal information processed using our AI Products is handled in line with this Privacy Notice and our agreement with third parties. Scene prompts you submit are sent to the AI Service Provider so they can return the requested narration, image, or film. Generated media is stored on our servers so you can revisit it from your library.
7. How do we handle your social logins?
In Short: If you choose to register or log in to our Services using a social media account, we may have access to certain information about you.
Avidlee offers you the ability to register and log in using your Google account. Where you choose to do this, we receive certain profile information about you from Google — typically your name, email address, and profile picture, as well as other information you choose to make public.
We will use the information we receive only for the purposes that are described in this Privacy Notice or that are otherwise made clear to you on the relevant Services. Please note that we do not control, and are not responsible for, other uses of your personal information by Google. We recommend that you review their privacy notice to understand how they collect, use, and share your personal information.
8. Is your information transferred internationally?
In Short: We may transfer, store, and process your information in countries other than your own.
Our servers are located in the United States. Regardless of your location, please be aware that your information may be transferred to, stored by, and processed by us in our facilities and in the facilities of the third parties with whom we share your personal information, including facilities in the United States.
If you are a resident in the European Economic Area (EEA), United Kingdom (UK), or Switzerland, then these countries may not necessarily have data protection laws as comprehensive as those in your country. However, we will take all necessary measures to protect your personal information in accordance with this Privacy Notice and applicable law, including, where applicable, the European Commission's Standard Contractual Clauses.
9. How long do we keep your information?
In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this Privacy Notice unless otherwise required by law.
We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). No purpose in this notice will require us keeping your personal information for longer than the period of time in which users have an account with us.
Purchase records, however, may be retained beyond account closure to comply with our tax and accounting obligations and to honor royalty payouts owed to our indie authors.
10. How do we keep your information safe?
In Short: We aim to protect your personal information through a system of organizational and technical security measures.
We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. These include bcrypt-hashed passwords, HttpOnly SameSite=None Secure session cookies, brute-force lockouts on repeated failed sign-in attempts, and HTTPS-only transit.
However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information.
11. Do we collect information from minors?
In Short: We do not knowingly collect data from or market to children under 18 years of age.
We do not knowingly collect, solicit data from, or market to children under 18 years of age or the equivalent age as specified by law in your jurisdiction, nor do we knowingly sell such personal information. By using the Services, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to that minor's use of the Services. If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. 12. What are your privacy rights?
In Short: Depending on where you live, you may have rights that allow you greater access to and control over your personal information. You may review, change, or terminate your account at any time.
In some regions (like the EEA, UK, Switzerland, and Canada), you have certain rights under applicable data protection laws. These may include the right (i) to request access and obtain a copy of your personal information, (ii) to request rectification or erasure; (iii) to restrict the processing of your personal information; (iv) if applicable, to data portability; and (v) not to be subject to automated decision-making. If you are located in the EEA or UK and you believe we are unlawfully processing your personal information, you also have the right to complain to your Member State data protection authority or UK data protection authority.
Withdrawing your consent: If we are relying on your consent to process your personal information, you have the right to withdraw your consent at any time. You can withdraw your consent at any time by contacting us using the contact details below. However, please note that this will not affect the lawfulness of the processing before its withdrawal.

Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms, and/or comply with applicable legal requirements (such as keeping receipts for indie author royalty payouts).
13. Controls for Do-Not-Track features
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track (“DNT”) feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.
14. Do United States residents have specific privacy rights?
In Short: If you are a resident of California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, or Virginia, you may have the right to request access to and receive details about the personal information we maintain about you and how we have processed it, correct inaccuracies, get a copy of, or delete your personal information.

- D. Commercial information — transaction information, purchase history (book titles, amounts, PayPal order IDs). Collected: YES.
- E. Biometric information. Collected: NO.
- F. Internet or other similar network activity — browsing history, pages viewed, books opened, scenes generated. Collected: YES.
- G. Precise geolocation data. Collected: NO.
- H. Audio, electronic, sensory information. Only the audio files indie authors upload as their own audiobook content. Collected: YES (authors only).
- I. Professional or employment-related information — indie author bio. Collected: YES (authors only).
- J. Education information. Collected: NO.
- K. Inferences drawn from personal information. Collected: NO.
- L. Sensitive personal information. Collected: NO.
We retain personal information in Categories A, B, D, F, H, and I as long as the user has an account with us, plus any longer period required by tax/accounting law.
Will your information be shared with anyone else? We may disclose your personal information with our service providers pursuant to a written contract between us and each service provider (PayPal for payments; OpenAI/Emergent for AI generation; Google for optional social sign-in). We have not sold or shared any personal information to third parties for a business or commercial purpose in the preceding twelve (12) months.
Your rights
You have rights under certain US state data protection laws. However, these rights are not absolute, and in certain cases, we may decline your request as permitted by law. These rights include:
- Right to know whether or not we are processing your personal data
- Right to access your personal data
- Right to correct inaccuracies in your personal data
- Right to request the deletion of your personal data
- Right to obtain a copy of the personal data you previously shared with us
- Right to non-discrimination for exercising your rights
- Right to opt out of the processing of your personal data if it is used for targeted advertising, the sale of personal data, or profiling in furtherance of decisions that produce legal or similarly significant effects. Avidlee does not currently engage in any of these activities.

Under certain US state data protection laws, you can designate an authorized agent to make a request on your behalf. We may deny a request from an authorized agent that does not submit proof that they have been validly authorized to act on your behalf in accordance with applicable laws.
Request verification
Upon receiving your request, we will need to verify your identity to determine you are the same person about whom we have the information in our system. We will only use personal information provided in your request to verify your identity or authority to make the request.
Appeals

California “Shine The Light” Law
California Civil Code Section 1798.83, also known as the “Shine The Light” law, permits our users who are California residents to request and obtain from us, once a year and free of charge, information about categories of personal information (if any) we disclosed to third parties for direct marketing purposes.
